How-to guides

New alumni

Join and get verified

  1. Go to Sign in or join and enter your email address.
  2. Open the link we email you (same device and browser).
  3. Add a photo, then fill in your name, batch, school details (nickname, house, student number, years joined and left), where you live and work, and who can vouch for you. Tick the consent box and save.
  4. You'll see “Thank you for signing up”. When a moderator verifies you, you'll get a welcome email and full access.

Members

Find classmates

  1. Open Directory.
  2. Search by name, school nickname, house, profession or employer, and filter by batch, country or city.
  3. Use Tiles for browsing, or List to scan many people in rows and columns.

Members

Keep your details current

  1. Open My profile, change what's new, and save.
  2. The “as of” date updates automatically when you change where you live or work.
  3. Untick “Show me in the alumni directory” any time you'd rather not be listed.

Members and group admins

Add or update a WhatsApp group

  1. Open Suggest a group, choose its type (batch, country, city…) and describe who it's for.
  2. If you run the group, tick “I'm an admin” and add your WhatsApp number with country code (e.g. +1 248 555 0100).
  3. Prefer “message an admin to join” over posting an invite link: leaked links let anyone in.
  4. Group admins can press “Still accurate” or Edit on their group card to keep it current.

Moderators and admins

Review sign-ups

  1. Open Moderate. New sign-ups are listed with their batch and who can vouch for them.
  2. Check with the voucher or the batch group admin if you're unsure.
  3. Verify — they get a welcome email. Or Reject… and give a reason (kept in the audit log, not emailed to them).
  4. Approve, edit or delete suggested WhatsApp groups further down the same page.

Moderators and admins

Download the directory to Excel

  1. In the Directory, apply any filters you want (for example one batch or one country).
  2. Press Download Excel. The file contains the members matching your filters; hidden members are never included.
  3. Each download is recorded in the audit log. Treat the file as confidential and don't forward it outside the alumni team.

Admins

Manage members and roles

  1. Open Moderate → Members and search for the person.
  2. Change their role and press Save role — e.g. make a trusted classmate a moderator for their decade.
  3. To remove someone, press Remove…, give a reason and confirm. Their alumni profile, membership and group-admin listings are deleted.
  4. Review everything in Audit log; filter by removals, rejections, group changes or downloads.

Frequently asked questions

›Why do I have to wait to be verified?
Everything here is visible only to fellow alumni, so a volunteer moderator checks each new sign-up first. It usually takes a day or two. Naming a classmate, teacher or WhatsApp group admin who knows you speeds it up.
›I didn't get the sign-in email.
Check your spam or promotions folder and search for “Alumni Connect”. Links expire after an hour and must be opened in the same browser you requested them from. If you see “reached the limit on sign-in emails”, wait a while and try again.
›Do I need a password?
No. Each time you sign in we email you a one-time link. Nothing to remember, nothing to leak.
›Who can see my details?
Only verified alumni who are signed in. Your sign-in email address is never shown in the directory. Moderators and admins can download the directory to Excel; every download is recorded.
›Can I hide from the directory without leaving?
Yes. Open My profile and untick “Show me in the alumni directory”. You keep access to everything; others just won't see you (and you won't appear in downloads).
›How do I join a WhatsApp group?
Open WhatsApp groups, find yours (filter by batch or country), and message one of the admins listed — tap their number to open WhatsApp. They'll add you.
›My batch or city group isn't listed.
Use Suggest a group. If you run it, tick “I'm an admin of this group” so people can reach you. A moderator approves it before it appears.
›Who can see my photo and student number?
Your photo, nickname, house and years at school are visible to verified alumni. Your student number is seen only by you and the moderators who verify sign-ups (it is included in their Excel download). Photos are stored privately, shrunk to 512 px, and any location data in the original file is removed before upload.
›My photo won't upload.
Use a JPEG or PNG. Some browsers can't read iPhone HEIC photos — take a screenshot of the photo and upload that, or change your camera setting to “Most Compatible”.
›What does “As of” mean on a profile?
The date the person last confirmed where they live and work. It updates automatically when they change those details. Entries older than two years are highlighted as possibly out of date.
›How do I delete my information?
Open My profile → Delete profile. It's removed immediately. To remove your sign-in account entirely, contact an admin at info@sss.com.
›My sign-up was rejected. What now?
If you think it was a mistake, contact an admin at info@sss.com with someone who can vouch for you.

Security & privacy

Verified alumni only

Nothing is public. Every new sign-up is checked by a volunteer moderator, and search engines are told not to index the site.

You control your entry

Only you can change your profile — enforced by the database itself (row-level security), not just by the screens. You can hide or delete it any time.

No passwords

Sign-in uses one-time email links, so there's no password to guess, reuse or leak.

Minimal data

We keep only what you choose to enter. Your email address is never shown in the directory, and your student number only to moderators. Phone numbers appear only for group admins who agreed to be listed. Photos are private, shrunk, and stripped of location data.

Everything is logged

Verifications, rejections (with reasons), role changes, removals, group changes and directory downloads are recorded in an audit log that nobody can edit or delete.

Encrypted and private

The site is served only over HTTPS and refuses to be embedded in other sites. Data is stored with Supabase; we don't sell or share it or use it for advertising.

Good habits

  • Only open sign-in links you requested. We'll never ask for a password.
  • Don't forward WhatsApp invite links or downloaded directory files outside the alumni group.
  • Share only what you're comfortable with — employer and LinkedIn are optional.
  • Spot something wrong or suspicious? Tell a moderator or email info@sss.com.
